Business and booking rules

Document the services you perform, the ones you do not perform, the ZIP codes or territories you serve, working hours, after-hours rules, appointment durations, travel buffers, crew skills, and any job types that must be reviewed before booking. Include the questions your best CSR asks before offering a time.

Identify the source of truth for availability. A booking should land in the same field service system your office already uses, with the customer, address, service type, notes, and assigned territory recorded in the fields your team expects.

Escalation and disclosure rules

List the calls that require a human: safety concerns, upset customers, unusual commercial work, warranty disputes, or anything outside the written service rules. Name the primary and backup contact for each category and what happens when neither answers.

Every caller should hear that they are speaking with an AI assistant. Give callers a clear way to request a person, and define what the agent should say when it cannot complete a request instead of allowing it to guess.

Launch test checklist

Test a normal new booking, an existing customer reschedule, an out-of-area request, an unsupported service, an emergency, a caller asking for a person, and a time when the requested crew is unavailable. Confirm what the caller hears and what your team sees in the software after each call.

Review live calls after launch and tune the rules from evidence. The first version should be controlled and understandable, with expansion happening only after the core booking and handoff paths are reliable.
